Fair usage policy

Last updated: 29 August 2026

How Brakan measures and manages proportionate use of storage, OCR, exports and email.

Purpose

Brakan is designed for genuine property-management activity. Fair-usage controls protect service reliability and keep prices proportionate without turning an occasional busy month into an automatic punishment.

How usage is measured

  • Uploads and receipt OCR attempts are measured per organisation in each calendar month.
  • Stored files are measured by current private-storage consumption.
  • Portfolio exports are measured when requested.
  • Email, notifications and CSV transaction imports may receive published allowances before commercial launch.
  • Archived properties or tenancies do not create usage merely by remaining archived.

Allowances and warnings

The organisation usage page shows the applicable plan and current allowances. Brakan warns at approximately 80% and creates a review warning at 100%. Crossing an allowance does not automatically suspend an organisation.

  • Brakan may contact an organisation owner to understand unusual use.
  • A temporary restriction may be applied only to the affected expensive or vulnerable feature after human review.
  • Where sustained legitimate use exceeds a plan, Brakan may suggest a higher plan or additional allowance.
  • Security abuse and prohibited content are handled under the Acceptable Use Policy, not disguised as fair usage.

Pilot allowances

Current private-pilot allowances are operational safeguards rather than a commercial entitlement: 250 uploads per month, 1 GB of storage and three portfolio exports per month. Receipt OCR is a controlled testing feature and its usage may be measured; mortgage-statement OCR remains paused. Allowances may be adjusted during the pilot after notice and review.

No circumvention

You must not create duplicate organisations, automate artificial requests or otherwise evade an allowance or security control. Ask support if a legitimate import, migration or exceptional workload needs temporary capacity.

Bank imports

The current product accepts transaction imports using the published Brakan CSV template. Direct bank exports, flexible bank CSV parsing, PDF bank-statement parsing and live bank feeds are not offered during the Core-demand pilot.
